6. Records we keep because the law requires it

- Promotion of Access to Information Act 2 of 2000
- Electronic Communications and Transactions Act 25 of 2002
- Consumer Protection Act 68 of 2008

7. How to request a record
- Fill in Form 2 (Request for Access to Record), available on the Information Regulator's website.
- Email it to info@actuallyfind.com with a copy of your ID, and proof of authority if you ask on someone else's behalf.
- Say which record you want, how you want to receive it, and which right you need it for.
- Pay the request fee (below) when we ask for it.
We will answer within 30 days. We may extend that once by up to 30 days if the request is large or needs a long search, and we will tell you why. If we don't answer in time, the request counts as refused.
To ask for your own personal information, you don't need this form: see "Your rights" in the Privacy Policy.
8. Fees
These are the prescribed fees for private bodies. ActuallyFind is not registered for VAT, so no VAT is added. There is no request fee when you ask for your own personal information.
- Request fee: R140.00
- Copies: R2.00 per A4 page (printed or photocopied)
- Electronic copy: R40.00 on a flash drive you supply, R60.00 on a CD we supply
- Search and preparation: R145.00 per hour after the first hour, at most R435.00
- Deposit: if the search will take more than 6 hours, one third of the access fee in advance
- Postage or electronic transfer: what it actually costs
We may hold back a record until the fees are paid.
9. When we may refuse
PAIA lets us refuse a request in some cases, for example to protect someone else's personal information, commercial information of a third party, confidential information, the safety of people or property, legally privileged records, or our own commercial information. If we refuse, we will tell you why.
10. If you're not satisfied
You can complain to the Information Regulator within 180 days of our decision, using Form 5, to PAIAComplaints@inforegulator.org.za, or apply to court.
11. How we process personal information
The Privacy Policy sets this out in full. In short:
- Why: to run accounts and listings, let buyers contact sellers, take Go Managed payments, keep the site safe and keep records the law requires.
- Whose information: sellers, buyers and other visitors to the site.
- Who receives it: our service providers (Hostinger, Cloudflare, Amazon SES, Paystack, Google, Have I Been Pwned, Anthropic, OpenAI), and authorities where the law requires it.
- Outside South Africa: several of these providers process information abroad, as described in the Privacy Policy.
- Security: HTTPS, hashed passwords, limited login attempts, and access to data limited to the Information Officer.
12. Updates
We update this manual when our records or contact details change. The date at the top shows the current version.
